Our work / MSA Safety

A control centre for a health and safety consultancy.

MSA’s advisors visit client sites and write up what they find. We built the app that schedules the visit, takes the report and files it.

The problem

A lot of sites, visits and paperwork to keep straight.

A consultancy like this has clients with many sites, each with its own services, visit schedule, documents and annual review. Miss one and a client notices. That’s a lot to hold together in folders and inboxes.

What we built

Clients, sites, services and tasks are all connected.

Inspections on a phone

Pick the scheduled visit and the site and client are filled in. Start from the last report, and its open actions come along to be answered.

Works with no signal

The app still opens on a site with no reception, and the draft and photos stay on the phone until the connection returns.

From voice notes to a report

An advisor can talk through the site, then fill in the observations from the recording’s summary. Anything it suggests gets checked before it’s filed.

Reports that file themselves

Submitting files the Word and PDF reports and completes the visit. Corrections replace the same file, so the client keeps one reference.

A schedule that keeps itself going

Repeating visits add their next block on their own, and the dashboard shows what’s about to renew. A booking only counts as work once someone publishes it.

From lead to invoice

Opportunities and quotes become tasks, and completed tasks go to Xero as draft invoices. Sending one twice doesn’t make a second invoice.

A dashboard that points at problems

Overdue visits, overdue tasks and client health come first. On a phone, each person gets their own checklist: overdue, today, this week, later.

Find anything

Type a client, site, document or postcode from anywhere. Spelling slips still find a match.

Nothing is lost

Records are archived rather than deleted, and the app warns you if someone else changed something while you were editing.

Why it works

It keeps growing with them.

It runs on MSA’s own Microsoft 365, so their data stays theirs and staff sign in with the account they already have. MSA still approves and sends every invoice in Xero.

Since June 2026

There have been more than 60 releases so far. Staff get plain-English notes telling them what they can now do, and the user guide is kept in step.
